Main responsibilities:
Assistant to General Manager (60%):
- Visa support and support in obtaining work permit (foreign employees and family members), tax declarations and other support with all documents. Visa support and abroad business trips for all employees.
- Deadline control (meetings, project and documents, incl. passport and migration control).
- Administrative coordination and paperwork support (checking documents before submitting them for GM’s signature).
- Own paperwork management and business communication within responsibilities.
- Cooperation with the notary (obtaining legalized copies of documents upon request).
- Eхpence reports for GM on all occasions (business trips\representation costs\fines etc.).
- Support in managing calendar of GM and itineraries during business trips.
- Organizing business trips (hotels, tickets, meetings, visa support, restaurants if needed) for GM (incl. abroad) and abroad business trips for MT and all employees.
- Organizing meetings\conferences\talks (incl. lunches, breaks, taxi, hotel and daily passes to Business Center for foreign delegations and GM’s business gests) and taking minutes at meetings (if needed).
- Translation eng\deu\rus (oral and written, incl. contracts and internal regulations).
- Conducting or preparing any research for GM.
- Preparing presentations.
- Preparing communications on behalf of GM.
- Answering phone calls, making copies.
- Various ad hoc requests from GM.
HR Department – Internal Communication (40%):
- Organization and coordination all corporate events (Business conferences, Townhalls and other meetings with employees) with HRM/HRD.
- Special projects (in cooperation with HR).
- Administrative support of the office in case of the absence of the Secretary.
- Coordination of corporate emails.
Requirements:
- Fluent English language (written and oral). German is additional advantage for the candidate.
- Sufficient software proficiency (Word, PowerPoint, Excel and other special software incl. AI).
- High degree of responsibility and multitasking.
- Good communication skills.
- Minimum 1 year of administrative experience at PA or other assistance positions.Company offers:
