• Provide strong administrative support to the Chief Strategy and Operations Officer (CSOO) and his team
• Responsible for calendar management, arranging meetings and conference calls
• Handle hotel and flight reservations and visa applications (complex travel with multiple legs and cities)
•COO personal matters including family relocation, school coordination, leasing agreements, working visas applications to Ministry of Manpower
• Conduct weekly diary meetings with the CSOO to discuss upcoming engagements, meetings and other requests.
•Arranging and coordination internal and external meetings
•Negotiations on behalf of the company and COO with government authorities, government institutions, diplomats and government officials
•Managing employees in case of the CSOO absence. Assignment tasks to employees and corporate meetings leading
•Departments coordination
• Filter queries, phone calls and invitations to the CSOO by taking appropriate action or redirecting
• Work with Singapore governmental organizations: MOM, EDB, NUS, ASTAR
• Filling employees employment passes and working visas with Ministry of Manpower
• Handling department of 10-15 people of behalf of COO in case of the absence
• Work with Universities and R&D centres worldwide, organizing meetings and managing relationships with them
•Developing and preparation Company working policies including IP protection policies
•Leasing with company R&D team
•Negotiation on the company strategies with potential partners including Shell, Total, Aramco
• Prepare and submit expense claims in a timely manner, following up with finance as needed
• Assist in drafting correspondence, collating and consolidating information
• Assist in preparing meeting materials, reports and power-point presentations
• Establish proper record keeping and efficient filing system
• Prepare meeting agenda, take minutes of meeting and circulate to the relevant parties
• Follow up on action items from meetings
• Co ordinate and participate in the meetings, video conferences and conference calls
• Organize team events for the region including events of up to 150 people
• Assist in personal matters when required
• Drafting simple legal documents: MOU, LOI, NDA
• Tracking of the signing necessary Non Disclosure Agreements and Letters of Intent.
• Company website building and maintenance using simple website builder tools and Wordpress, movie maker simple movie cutting
•Budgeting for the whole projects, taxes filling. Office budgeting. Account updates.
•Outsourcing for the project needed specialist: movie makers, voice over actors, engineers etc.
•Leasing with company suppliers, vendors, clients
• Simultaneous professional translations eng-rus in business and finance (including translations for diplomats and government officials), economics and management, industry and technology (including IP protection, crude oil and biodiesel, crude oil refining, commodities trading), legal (including oral translations of the agreements from the list), science (medicine, physics, chemistry, environment and ecology), IT, entertainment (music and movies industry), social science.
