• Setting up contractors in HRMS and arranging Contractors Purchase Orders to be raised manually in the system. Resolving all issues related to access, passwords, data changes, cost rates changes
• Setting up new consultants on the project and setting transaction controls to allow Consultants to book time to the project
• Run Missing Timesheets report on a weekly basis, and chase entry of missing time
• Run Project Owners report on a weekly basis and review entries for the period to identify errors and corrections
• Prepare cross charge templates on a monthly basis. Send for approval and processing, reconcile to what is in Project Accounting (PA) system, creating forecast for the following month
• Prepare Burning Rates Federal Treasury Automated System (FTAS) Report twice a month, update if required
• Prepare Project Management Reporting (Forecast) on a monthly basis
• Creating Purchase Orders by the team request and tracking in the project tracking system
• Orient new project members to the project environment, policies and procedures
• Training for the Project Tracking system OCS Projects
• Verification of paper timesheets compliance to electronic timesheets in OCS for contractors
• Process financial documents/information related to work with contractors
• Training for newcomers (timesheets, absence log, translation requests, project tracking system)
• Support team members with regards to Project Procedures
• Communication with Support department in India on Time Entry adjustment
• Uploading and archiving of financial documents in OCS project tracking system
• Preparation of Project Exhibits for contractors’ access to Oracle network
• Submitting Pre-approved batch for signed subcontractor invoices on a milestone/monthly basis
• Office supplies supervision
• Verification of contractors cross charges for compliance with PA
• Office procedures: development, implementation, evaluation, control over performance
• Hotel and tickets reservation, transportation arrangements
